How To: GoTo Meeting

In this new world of remote and hybrid work environments, we seem to be on virtual meetings more often than not.

We’ve put together a brief guide on GoTo Meeting, the virtual meeting software included in our Hosted Phones subscriptions.

Some basics

What is it?

GoTo Meeting is a professional online meeting software that makes it easy to connect with people any way you want. Some features include:

Business Messaging collaboration.
Less note taking with transcriptions.
Instant and scheduled meetings.
Customized team settings.
All-in-one conference room solution.

Security features

Organizers are able to password protect meetings, lock the meeting once you’re in session, dismiss attendees you don’t recognize, give recording access to specific people, share specific content of your recording, set an expiration date on your recording, use a new meeting ID, hide attendees, view this security white paper.

New Users

New User Guide

With the New User Guide, you can learn how to download and sign into your account, overview your account, create a meeting, join a meeting, and use meeting features.

Here are some highlights:

Creating a meeting

To schedule a one-time or recurring meeting, click Create meeting from either the meeting tab of the GoTo desktop app or by navigating to https://global.gotomeeting.com

Select the meeting type.
If scheduling a one-time meeting, choose the meeting date and time.
Add a co-organizer (must be a member on your account).
Use breakout rooms during the meeting.
Allow attendees to start the meeting without you.
Password protect your meeting (please note that you will not be able to record your meeting if it is password-protected).
Edit audio options.
Save the new meeting.

Meeting Features

Change your audio method or device, camera device, or general meeting settings.
Invite others to join the meeting.
Record the meeting.
Mute and unmute yourself.
Share your camera.
Share your screen.
Leave or end the meeting.
Enter presenter mode

GoToConnect: What’s New?

GoToConnect has recently released some features and updates!

Block phone numbers on GoToConnect Mobile.

From the GoToConnect mobile home screen, tap the gear icon.
Go to Call Settings > Blocked Numbers then click +.
Enter the Phone number criteria for the block.
- Enter a ten-digit phone number
- Or enter a number using * to broaden the call filter. Example: 800* will block all calls from 1-800 numbers, *4437 will block all calls from numbers ending in 4437.
Enter a Description and then tap Done.

You can manage the blocked numbers from clicking the gear icon > Call settings > Blocked Numbers.

Use Visual Call Parking on GoToConnect web and desktop.

Virtually park calls on hold and answer them. With visual call parking you can view which call parking spots are in use on your system from GoToConnect web and desktop.

Before you begin: To use visual call parking, a system admin must enable this feature for you (don’t know how? Click here.)

Note:

To view visual call parking spots, click your name in the top left, click Settings and then check the box for Display parked call spots.
The Parked calls section in the left sidebar will only be displayed when there are calls parked on your system.

While on an active call, click Park.
In the new window, select the call parking spot you’d like to use or type a custom parking spot (any number of digits, but it cannot start with 0) and then click Park Call. If you park a call to an occupied spot, the call will be transferred back to you.
Tip: There is an unlimited number of parking spots available, and they can be assigned manually or by the system.
To answer a parked call, click the desired call from Parked calls in the left sidebar and then click Call.
Note: Parked calls will remain on hold until someone answers them or Call Parking Timeout lapses (the call is then routed back to the original person who parked the call).

GoTo: Switch a Call Between Devices

Ever experience a client call running over and you need to get on the road?

Have you taken a call in your car on the way to work and need to transfer to your desk phone when you get there?

GoTo offers three ways to answer any call: the desktop app, mobile app, and the physical desk phone. This can be extremely convenient for you if you move around the office, take calls on the road, work remotely, etc. A useful feature many users are unaware of is the ability to switch active calls between devices.

Calls can be flipped that are active, waiting in queue, in the process of being transferred, or even calls that have not yet been answered.

Currently, there are no permission checks. Keep in mind if there are multiple active calls, you can’t pick which one flips.

Follow these steps to flip a call:

GoToConnect Desktop

While on an active call on another device, open GoToConnect desktop or web.
Hover over Your active call on another device in the left sidebar and then click to complete the switch to the desktop app.
- The call will be automatically ended on the original device. This change will be transparent to the other party.

GoToConnect Mobile

While on an active call on another device, open GoToConnect mobile.
Tap Active Call at the top of your screen.
Tap Take the call to complete the switch to the mobile app.

Desk phone

While on an active call, dial *77 from the desk phone.
- The call will automatically end on the original device. This change will be transparent to the other party.

Want another pro tip? When a colleague’s phone is ringing, you can pick up the call by dialing *97 from your phone then entering the colleague’s extension.
